The Role

It is desirable for candidates to have some legal experience, preferably in Intellectual Property. For example, the successful candidate may have 1-2 years’ experience in a Formalities or Records role, or within a business support function in a legal or IP firm. Our current professional support team include paralegals and strong performance in the role may eventually allow progress to a paralegal-track with appropriate support for training and qualification.

 

The successful candidate would need to be able to work within a small team working closely with their leading Paralegal to ensure that deadlines are met and effective support is given. In this role, excellent organisational skills are required, together with the ability to work accurately under pressure, and preparedness to work additional hours from time to time to ensure that deadlines are met. The role requires the ability to work both autonomously and as part of small team, with the candidate feeling comfortable in client-facing communications and working to ensure that work is carried out in a timely and effective way to meet client requirements. Job responsibilities can be expected to include the following:

 

Professional

  • Instructing overseas associates for patent, trademark and design filings, as well as providing non-technical or formalities based instructions or responses.
  • Reporting official communications to clients.
  • Preparation on monthly reports for clients.
  • Involvement in IP transaction projects including the preparation of official forms and documentation.
  • Use of IP management systems for Keltie (Inprotech) and clients, including report generation
  • Use of document management system (iManage), including document filing and retrieval
  • Managing communication with clients and supporting client relationships
  • Addressing formal drawings issues, including commission and review
  • Developing office processes and workflows to meet specific client requirements
  • Onboarding of new clients (e.g. performing conflict checks, preparing Engagement Letters)

 

Administrative

  • Diary management including deadline monitoring
  • Reviewing post and sending reminders
  • Invoicing and billing
  • Responding to general client queries
  • Preparing and obtaining documents
  • Document proofing and copy typing
  • General administrative duties
