Key Responsibilities

The primary function of the role is to ensure the timely and efficient handling of communications coming into the department.  The successful candidate will demonstrate a strong desire to succeed in taking in new information relating to IP and IP Renewals legal requirements and processes and standard office procedures.  These include such tasks as:

  • Checking reminders from UKIPO, EUIPO, WIPO, Irish IPO and worldwide associates
  • Sending all renewal reminders to clients across patents, designs, trade marks and domain names
  • Obtaining cost estimates from a worldwide network of associates
  • Creating invoices
  • Sending renewal instructions to our worldwide network of agents
  • Advising and processing documentary requirements in support of renewals
  • Paying renewal fees directly to local IPOs
  • Booking on take over cases and checking cases booked on by other team members
  • PREN5s & CEA1s
  • Updating renewal cycles and case statuses within Inprotech
  • Other ad-hoc support as required by the renewal team or wider firm
  • Advising other departments within Keltie and external clients of renewal requirements worldwide.

 

Candidate knowledge and experience:

  • A key requisite for the role is teamwork and the ability to communicate effectively and competently at all levels within the organisation and with clients.
  • The successful candidate will be able to take in new information and process it quickly, demonstrating an exceptional degree of accuracy, attention to detail, pace of work, time management and organisation under pressure.
  • Experience with electronic records and billing systems (particularly Inprotech) would be an advantage.
  • Candidates are prepared to work additional hours from time to time to ensure that deadlines are met.

Salary:                              Market competitive salary offered.

Hours:                              This is a full-time role, 35 hours, 5 days per week (ideally 9.30am to 5.30pm).  However, we will consider part-time/job share applications.

Notice Period:                 1 month on either side.
