The role

Keltie’s patent and trade mark attorneys are assisted by a Professional Support team whose work is varied and satisfying, involving:

  • updating and monitoring diaries to ensure that deadlines are met
  • instructing overseas associates for IP filings and responses to official objections
  • reporting official communications to clients, generating draft reports for attorney approval
  • using Keltie’s IP management system (Inprotech) to extract information and to generate reports
  • using Keltie’s document management system (iManage) to file and recover documents
  • client portfolio management, including billing and liaison with client IP specialists
  • developing office processes and workflows to meet client requirements
  • responding to general enquiries
  • preparing supporting documents for IP filings; arranging legalisation and notarisation of documents
  • participating in due diligence exercises
  • recording assignments and changes of name on official registers
  • liaising with Keltie’s other support functions including Finance, IT and Patent and Trade Mark Services
  • contributing to Keltie’s marketing efforts, including representing the firm at business events

Working closely with experienced colleagues based in Ireland and the UK, our new Professional Support recruit will be based primarily in Galway but will make occasional visits to our offices in Dublin and London.

We encourage recruits in our Professional Support team to gain IP Paralegal qualifications as they develop their careers with us. Appropriate training will be given.

 

This is a full time role, with the option of hybrid working.

The candidate

This opportunity is ideal for an enthusiastic and hard-working candidate who will contribute fully to our energetic and friendly team but who is also effective when working autonomously. Experience of working in a legal or other professional environment will be a distinct advantage. The candidate will be comfortable with Word, Excel and Outlook; experience with electronic records, document management and billing systems would also be helpful.

We look for people with exceptional communication and organisational abilities, energy and enthusiasm, problem-solving skills, excellent written and spoken English and, above all, a keen eye for detail and accuracy. They must feel comfortable in client-facing situations and when working with colleagues at all levels. Excellent time management is essential, together with the ability to work accurately and at pace under pressure. Sometimes, it will be necessary to work beyond normal hours to meet client deadlines – but, of course, flexibility earns flexibility in return.
